Overview

OrderVoice AI, LLC (“OrderVoice,” “we,” “us,” or “our”) provides AI-powered phone assistant services for restaurants. This Privacy Policy explains how we collect, use, and protect information when you use our services.

Information We Collect

From Restaurant Clients:

• Business contact information (name, email, phone number)
• Restaurant details (name, location, menu information)
• Call recordings and transcripts for service delivery and quality improvement
• Usage data and analytics

From Restaurant Customers (End Users):

• Caller ID and names or contact details provided during calls
• Full call recordings and transcripts, including calls that do not result in an order
• Order details and preferences
• Detailed call records, including AI requests and responses, order changes, timing, usage and errors
• If you agree to texts: your mobile number, a record of your agreement (date, time and what was said), the texts we send and receive, and any STOP or HELP requests

How We Use Information

We use collected information to:

• Provide and improve our AI phone assistant service
• Process orders accurately
• Provide customer support
• Comply with legal obligations
• Create de-identified, combined data: information grouped across restaurants, with names, phone numbers and other details that identify a person or a restaurant removed. We may use and license this data, including to other companies.
• We never sell or license phone numbers.

Text Messages (SMS)

OrderVoice takes phone orders for restaurants. On the call, the order taker may ask if you want order texts from OrderVoice. We will text you only if you say yes on the call. These texts will come from our own texting number. Each text will start with the name OrderVoice and name the restaurant you ordered from.

• When texting starts, we will collect your mobile number, a record of your agreement (date, time and what was said), the texts we send you and your replies, and any STOP or HELP requests.
• We will use this only to send texts about your order, show your order page, send an automatic answer if you text us, honor STOP and HELP, and keep records that show you agreed or opted out.
• Order page: your text will have a link to a page about your order. It shows the restaurant, your items, the total, the pickup time and the order status. It does not show your name, phone number or card. Anyone with the link can see it, so please do not share it. The link stops working 24 hours after your pickup time.
• Pay links: for some big orders, your text will have a link to pay the restaurant on a secure checkout page. We do not see or keep your card number.
• We do not share, sell, rent, or provide your mobile phone number or text-messaging consent to third parties or affiliates for marketing or promotional purposes.
• All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.
• The phone and texting companies that deliver our messages handle your number only to deliver them.
• Message frequency varies, up to 3 texts per order. Message and data rates may apply. Reply STOP to opt out or HELP for help. Our full texting terms are in our Terms of Service.
• We will keep the record of your agreement and of any opt-out for as long as we need it to honor your choice and show that you agreed.

Website Forms

This section covers the forms on ordervoice.ai.

• Contact form: we collect your name, email and message, and email them to our inbox so we can reply.
• Demo call (“Call me now”): we collect your phone number, email, time zone and optional name, plus the exact consent wording you agreed to and when. We store your request, its status and identifiers used to connect it to your demo call. We use your number to place the one demo call you asked for. Our email notification includes your contact details, request time and time zone, and our private owner dashboard can display your name, phone number and email. The request doesn’t sign you up for marketing calls or texts.
• Recording: the full demo call is recorded and transcribed for quality review, as the consent box says. We keep its recording, transcript and detailed call records indefinitely, as described below.
• Abuse limits: we store your browser type and a scrambled (hashed) form of your IP address, and run an automatic bot check. One connection can request up to 3 demo calls an hour.
• Browser storage: a cookie and an identifier stored in your browser let the page show your demo order during the call. Preview access expires after 30 minutes; this does not delete your demo request or call records.
• Booking a demo: our Demo page uses Calendly, which collects what you type there under its own privacy policy.
• Deletion: to have your form or demo-call information deleted, email hello@ordervoice.ai.

Data Security

We implement industry-standard security measures to protect your information, including:

• Encrypted data transmission
• Secure cloud storage
• Access controls and authentication

Data Retention

• We keep full call recordings, transcripts and detailed call records indefinitely for every restaurant and for demo calls; there is no scheduled automatic deletion
• Order data and website demo-request records also have no scheduled automatic deletion
• You may request deletion of your data at any time

Your Rights

You have the right to:

• Access your personal information
• Request correction of inaccurate data
• Request deletion of your data
• Opt out of marketing communications
• Stop text messages at any time by replying STOP
• Withdraw consent at any time

Third-Party Services

We may use third-party services for:

• Cloud hosting and storage
• Analytics and performance monitoring
• Payment processing
• Phone calls, text messages and email delivery

These providers are contractually obligated to protect your data.

California Privacy Rights

California residents have additional rights under the CCPA, including the right to know what personal information is collected and the right to deletion.

Children’s Privacy

Our services are not directed to individuals under 18. We do not knowingly collect information from children.

Changes to This Policy

We may update this Privacy Policy periodically. Continued use of our services after changes constitutes acceptance of the updated policy.
